Privacy notice
This explains what we do with the details you give us when you ask for a quote or a booking, in plain English. Last updated 26 August 2026.
Who we are
East Coast Minibus Hire is a minibus and coach hire business based in Kilcoole, Co. Wicklow. If you have any question about your details, ring us on 086 601 6572 or email info@eastcoastminibushire.ie.
What we collect
When you send an inquiry through this website or over the phone, we take the details we need to quote and arrange the trip:
- your name, phone number and email address;
- your pickup and drop-off addresses, including Eircodes;
- the date and time, and how many passengers there are;
- any notes or extra stops you add;
- whether you need a wheelchair-accessible or bariatric vehicle.
The form records your IP address and browser type, which we use to help keep the form free of spam and abuse. While our analytics is switched on, those two are also sent on every page you visit, and there is more about that below.
Why we use it
We use your details to answer your enquiry, prepare a quote and arrange your trip. In data-protection terms, our basis is to take the steps you have asked for before we agree a booking, together with our legitimate interest in running the service.
We only ever contact you about your inquiry or booking. We do not send marketing, and we do not ask you for reviews.
We come back to you by phone, by text message or by email, and the inquiry form lets you tell us which you prefer. If you ask us to email you, we need an email address to send it to, so the form asks for one.
Telling us you need an accessible vehicle
If you tell us you need a wheelchair-accessible or bariatric vehicle, we use that only to send the right vehicle and driver for your trip. You do not need to give us a medical reason.
Payment
We do not take payment on this website.
Who can see your details
Inside the business, the East Coast Minibus Hire team who arrange your trip. Outside it, a small number of companies handle your details for us, only to do a job we have asked them to do and only on our instructions. We do not sell your details, and we do not share them for marketing. This is who they are, and what each one gets:
- Twilio and WhatsApp. As soon as you send an inquiry, an alert goes to the phones of the people who arrange your trip, so somebody picks it up quickly. That alert carries your name and phone number, your pickup and drop-off, any venue you named, the date and time, how many passengers there are, your flight number if you gave one, the extras that apply to your trip, anything you wrote in the notes box, and, once we have quoted you, the price. Twilio is the company that sends our messages, and the alert reaches us over WhatsApp, which is a Meta service. When we come back to you with a quote or a payment link by text message, that goes through Twilio as well.
- Railway runs the servers behind this website and holds our booking records, so everything you send us is stored there.
- Cloudflare provides the check that keeps our form free of spam. While that check is switched on, your IP address and information about your browser are sent to Cloudflare so it can tell a real visitor apart from a bot, and it may set a cookie for the same purpose. Cloudflare also carries the traffic to our analytics service described below, so your IP address passes through it on every page rather than only on the form.
- Stripe is our payment provider, and what we pass to it depends on which of three things we are doing. If we send you a payment link for a deposit, the only things our system passes to Stripe are a reference number for your booking and the amount to pay. If we invoice you for the balance of your trip, we also set up a customer record at Stripe holding your name and your email address, because Stripe sends that invoice to you directly and it cannot reach you without them. If your trips are billed to an organisation instead, such as a nursing home or a company that holds an account with us, we do the same for whoever pays: a customer record at Stripe holding that organisation's name and the billing email address it gave us, together with our own invoice number and, for each journey on the bill, its date and its price. We do not pass your phone number or any address to Stripe. On an account invoice we never pass the name of anyone travelling, only the organisation's own name, and on any invoice we never pass where anyone was collected or taken. The invoice itself shows a single line for a balance, or one dated line for each journey on an account invoice, rather than a breakdown of how your price was worked out.
- Resend carries any email we send you, and there is more about Resend just below.
- Sentry receives our technical error reports when something goes wrong on this website or in our booking system. Those reports are about the fault rather than about you, but they can carry details from whatever request failed.
- Umami shows us which pages people visit and which ones lead to an enquiry. It runs on an analytics service operated for us by Scaled Channel, the agency that builds and runs this website, hosted on Railway, the hosting provider already named above. It is a separate service from the one that holds our booking records. It receives the address and the title of the page you are looking at, the address of the page you came from, your screen size, your browser language, your IP address and your browser type, and it records the fact that an enquiry was sent. From your IP address and browser type it also works out your approximate location, which browser, operating system and kind of device you used, and a code, renewed every month, that lets us count one visit once rather than many times. Neither we nor Scaled Channel uses any of it to work out who you are, and neither of us tries to. It sets no cookie and stores nothing on your device.
Email we send you goes through Resend, our email provider. We send from Resend's European region, but Resend is a United States company and it stores our account details, the delivery records and the logs for those emails in the United States. That transfer relies on Resend's data-processing agreement and the standard contractual clauses approved by the European Commission. Resend also keeps a copy of each email it sends for 30 days.
How long we keep it
We keep your booking details for 24 months after your journey. That includes the copy we keep of any quote or message we send you, so we can show what we quoted and when.
The analytics described above is separate, and we have not yet set a deletion schedule for it. We are working that out, and we will say here what it is once it is decided.
After that we delete them, as part of a periodic clear-out of old records. Some records have to be kept for longer, because tax and accounting rules set their own periods, and where that applies we keep them for as long as the law requires and no longer. If you would like your details deleted sooner, you can ask us, and the next section explains how.
Cookies
The site uses only the cookies it needs to work. On our contact page, a Google map loads only if you choose to click it, and Google receives your IP address when it does. The spam check described above, which is run by Cloudflare, may set a cookie to tell real visitors from bots.
Our analytics, described above, sets no cookie and stores nothing on your device.
Your rights and how to reach us
You can ask us for a copy of the details we hold about you, or ask us to correct or delete them. So that we can find your records, please tell us the phone number or email address you booked with, and roughly when the trip was. We will reply within one month. If your request is a complicated one we may need up to two months longer, and we will tell you inside the first month if that happens.
There are two things we cannot simply remove on request. Where tax or accounting rules require us to keep a record, we keep it for as long as they say. And we keep our own record of the quotes and messages we have sent you, so that we can always show what we quoted and when, until its retention period is up.

Changes to this notice
We may update this notice as the service grows. When we do, we will change the date at the top of the page.
